Thanks to the flexibility and development speed of the OutSystems platform, Van Vulpen was able to transform its custom system, originally based on local databases and later expanded with SQL and .NET, to better align with the growth of the organization and changing market demands. While many contractors use separate systems for administration, personnel management, project management, and financial processes, Van Vulpen now works with one central platform that connects all processes within the organization.

New foundation for strong growth
With the strong growth in the number of projects, partly driven by the energy transition, the need for a robust and scalable digital foundation also grew. Due to the growing wishlist of three years for new features, Van Vulpen decided to completely rebuild PROQS with OutSystems AI-driven low-code. Collaboration took place with Aspect ICT, the partner that brought valuable low-code expertise during the modernization process. The new system was developed in one and a half years.
The renewed platform is a strong foundation and connects all processes. Moreover, it offers the possibility to continuously add new functionalities that are necessary to remain competitive. An AI agent has been developed that automatically reads incoming invoices and links them to projects. This reduces repetitive work and significantly decreases the margin of error.
Heijkoop: 'In the past three years, we have more than doubled in size, which means that nearly two thousand people are working with PROQS every day. Not only has the number of users grown, but also the number of functions within the platform. This rapid growth has only been possible thanks to our choice of a scalable system and the development platform from OutSystems that has supported us in this.'

Integrating all core processes within PROQS gives Van Vulpen an important competitive advantage. Decisions are made based on the same information, which leads to faster decision-making and more control over projects. Every action such as purchasing, time registration, and progress is immediately visible, allowing for timely adjustments and preventing failure costs. Additionally, the connection between planning, capacity, and materials enables accurate capacity planning, so that personnel and materials can be deployed more quickly and efficiently.

Expanding PROQS with logistics module, onboarding, and chain integration
Currently, Van Vulpen is working with Aspect ICT on a new logistics module that will make the distribution of construction materials more efficient. In the coming years, the company also wants to further expand the system with features for onboarding, data-driven reporting, and chain integration with clients. The starting point remains one platform where all processes, data, and people come together.
